We are looking for an Executive Assistant (f/m/d) to support with a wide range of responsibilities varying from supporting our CEO with daily schedules, travel, stakeholder communications, investor relations and visits, leadership meeting preparations to administrative tasks. Here is a more detailed list of your areas of responsibility:

1) Executive Support 
•Manage CEO’s calendar, schedule meetings, and coordinate travel arrangements. 
•Prepare agendas, briefing materials, and follow-up actions for meetings. 
•Act as the CEO’s “air traffic control”: prioritize, protect focus time, and handle fast-changing schedules. 
 
2) Communication & Coordination 
•Act as the primary point of contact for internal and external stakeholders on behalf of the CEO. 
•Draft and review correspondence, presentations, and reports. 
•Track key projects, deadlines, and action items to ensure alignment with company priorities. 
 
3) Board, Investor Relations & Fundraising Support 
•Support fundraising activities including investor research and pipeline tracking. 
•Maintain investor database/CRM: meetings, notes, next actions, and follow-ups. 
•Support pitch preparation (deck iterations, investor-specific versions, scheduling). 
•Prepare investor updates and support board materials and communications. 
•Prepare, structure, and continuously maintain the data room; coordinate diligence requests and Q&A tracking. 
 
4) Leadership Team Operating Rhythm 
•Organize and prepare leadership meetings including agenda planning and pre-read coordination. 
•Take structured notes, capture decisions, and track actions with owners and deadlines. 
•Follow up on action completion and proactively unblock execution across teams. 
 
5) Administrative & Office Support 
•Organize and maintain confidential files and records. 
•Handle expense reports and ensure timely processing of invoices. 
•Prepare and coordinate on-site visits of investors and customers. 

Here is what you bring to the table
• Minimum 2 years of proven experience as an Executive Assistant or similar role supporting senior leadership. 
• Ability to work and prioritize in an agile, fast-paced environment. 
• Exceptional organizational skills and strong attention to detail. 
• Strong written and verbal communication skills in English (German is a plus). 
• Proficiency in MS Office and digital collaboration tools (e.g., Google Workspace, Notion/Confluence, Slack, CRM tools). 
• High level of discretion, integrity, and professionalism when handling confidential information. 
• Eligible to work in Germany
• Strong interest in the space industry; passion for space is a big plus.
